Master data management project

… it was found that inadequate use of the ERP system and bad master data in it are the main reasons for communication problems between the warehouse and the technical department, and for the inability of the warehouse to timely and accurately fulfill requirements of customers and technical department.

Problem:

Company LOGIKO has screened our warehouse and found that inadequate use of ERP system and bad master data in it are the main reasons for communication problems between the warehouse and the technical department, and for warehouse inability to timely and accurately fulfil requirements of customers and the technical department. One of the main problems in the warehouse was the discrepancy between bookkeeping status and the real status of supplies in the warehouse as well as the duplication of codes in the IT system.

Solution:

A project was designed to reduce the number of codes in general and eliminate duplicate codes in particular. The three main points of this phase of the project were:

  1. Determining the structure of the master records of materials – A multifunctional master data team was formed, and they started to clean the data.
  2. Cleaning (filtering) of duplicate master data (codes)
  3. Redefining the procedure for opening new master records of materials (codes)

Results:

After the analysis of needs and possibilities of IT system in the part of the master data, adjustments were made to remove the causes of duplication of master records and ultimately the number of items was reduced by 37% resulting in an easier and faster search of the codes and a smaller number of errors when receiving and issuing the goods.

The procedure for entering new codes (master records) has been made and the entire procedure has been centralized in one service and thanks to the new procedure the number of duplicate entries has been reduced.
